We have a fantastic opportunity to join our Finance team on a part-time basis as Finance & Compliance Co-ordinator working predominantly with our Interim Leadership (IL) business.
What you’ll do:
Our IL business provides senior managers who work on a contract-basis to our client organisations, including Chief Executives and Directors. You’ll play an integral role in protecting GatenbySanderson from audit, risk and compliance issues, whilst ensuring that clients and IL candidates alike have a seamless experience which results in loyalty and retention.
Make an Impact:
IL Coordination & Compliance
♦ Monitor the progress of new assignments, through close co-ordination with IL fee earners and Assistant Consultants.
♦ Regularly audit the CRM system to ensure that data is accurate, regularly cleansed and that concerns around data integrity are raised in a timely and appropriate manner
♦ Ensure that new contract rates and day rates are captured
♦ Ensure that candidates who are being submitted for placement have submitted the appropriate accreditation and insurance documents
♦ Track and chase references to ensure that all submitted candidates have up to date references on file.
♦ Review all registration documentation to ensure that forms are received in a timely manner and that documents have been correctly completed. Where there are gaps, liaise directly with IL Assistant Consultants and fee earners.
♦ Administer any required DBS checks
♦ Request appropriate audit documents from umbrella companies
♦ Collect all Financial Compliance documents from candidates (eg VAT registration, Companies House checks, Insurance)
♦ Check IR35 status for all candidates and ensure that they are processed appropriately, raising flags and asking questions where you wish to query the categorisation
♦ Oversee, track and monitor the compliance to any framework agreements. Identify where concerns need to be raised and take appropriate action.
♦ Track the return of client contracts, ensuring that terms are signed and returned at the appropriate point
♦ Gain a thorough understanding of all aspects of MSP contracts.
♦ Work in partnership with fee earners and delivery teams to ensure that interims who are due to finish have finished and that all extensions are captured and explored to a point of closure and clarity.
♦ Ensure that POs have been requested and chase where appropriate, ensuring that work is stopped where clients fail to share a PO number to enable invoicing.
Client and candidate experience
♦ Send out welcome correspondence and user guides which introduce the support team and guide them through the next steps of their experience with us including timesheet systems
♦ Send feedback forms to candidates and clients post assignment completion, sharing feedback with fee earners and delivery colleagues as appropriate.
♦ Operate as the first line of contact for candidate or client payroll queries ensuring prompt responses.
♦ Oversee the recording and documentation to support contract extensions, saving CVs against candidate records as appropriate
♦ Gain a thorough understanding of all aspects of MSP contracts (including loading candidate details onto MSP portals), escalating issues to account managers of portals where appropriate
♦ Support finance colleagues to request and chase the submission & approval of timesheet to guarantee accurate and timely payment.
♦ Support with escalated candidate and client queries regarding MSP portals, working with colleagues to respond appropriately
♦ ES Compliance checks & monitoring
♦ Ad-hoc finance duties when required
What you’ll bring:

For this role it is essential for someone to have the following experience:
♦ Experience of providing successful administration & support in a dynamic business function.
♦ Strong Excel skills and a demonstrable ability to learn internal systems and CRM tools.
♦ Experience of dealing with all levels of people within an organisation.
♦ Able to exhibit experience of presenting to senior management
♦ Track record of identifying and succinctly articulating trends in management information
♦ Evidence of improving the compliance reporting to a company
For this role we ideally need someone who has the following skills & knowledge:
♦ Ability to communicate effectively with clarity and confidence
♦ Well-developed interpersonal skills with a positive attitude and the ability to organise and motivate people to work as a team.
♦ Ability to prioritise and balance constantly changing and conflicting requirements
♦ Ability to self-assess, and set personal goals
♦ A commitment to delivering high quality work, strong and relentless attention to detail, and proven ability to sense check reports and cross check peers work to guarantee quality
♦ Resilient and open to constructive criticism
♦ Experience of Access Dimensions would be beneficial
♦ Experience of Power BI would be advantageous
